B2B Event Calendar for Q4 2026: Where to Pre-Book Meetings, and When to Start

A dated calendar of B2B events for Q4 2026, from Dreamforce to GITEX Global, with the date to start outreach for pre-booked meetings at each one.

Short answerStart meeting outreach six weeks before an event's first day. For TOKEN2049 Singapore, GovWare, Money20/20 USA and Gartner IT Symposium/Xpo that date has passed, so work a shorter list now. Outreach windows for Oracle AI World, FII10 and the Global Health Exhibition open this week, and GITEX Global runs 7 to 11 December 2026 at Expo City Dubai, so start by 26 October.

The B2B events worth pre-booking meetings at in Q4 2026 run from Dreamforce in mid September to GITEX Global, now 7 to 11 December at Expo City Dubai. Start outreach six weeks before each event's first day. For TOKEN2049 Singapore, GovWare, Money20/20 USA and Gartner IT Symposium/Xpo that date has passed, so start now with a shorter list.

We checked every date, city and venue below against the event's official website on 12 and 14 September 2026. Organizers do move dates, so confirm again before you book flights or meeting rooms.

How to use this calendar

Senior buyers fill their show calendars weeks before they travel. If your first email lands the week before the event, the slots are gone. That is why our pre-booked meetings playbook runs on a six-week timeline: one week to score the event, register and build a slot grid, one week to build the contact list, three weeks of email and LinkedIn outreach, and a final week of confirmations.

The "start outreach by" column counts back six weeks from each event's first day. Where that date has already passed, the column says "now, with a shorter list." In that case:

  • Cut the list to tier-one accounts, confirmed speakers and exhibitors, open opportunities and customers you know are going.
  • Compress outreach into a two to three week sequence, and offer two specific slots in every message.
  • Offer anyone who cannot meet on site a call in the week after the show, so the outreach still produces pipeline.

Before you commit budget, score each event by target-account density rather than size. The scoring table is in the playbook.

Two changes catch teams out this year. GITEX Global now runs in December at Expo City Dubai, so any plan built around October meetings at GITEX is out of date. And HubSpot's INBOUND is now UNBOUND.

United States

Dreamforce (San Francisco): Salesforce pitches it to business leaders, product teams and its Trailblazer community across every product and industry. It is the anchor event for Salesforce partners; with days to go, reach customers you already know are attending and book follow-ups for October.

HubSpot UNBOUND (Boston): HubSpot aims it at marketers, salespeople, business leaders and go-to-market teams. It suits B2B SaaS and AI companies that sell to revenue teams. HubSpot's UNBOUND site says UNBOUND 2026 is officially sold out, so focus on contacts who already hold passes.

EDUCAUSE Annual Conference (Denver, then online): EDUCAUSE says higher education technology professionals and technology providers from around the world gather here. The online days on 14 and 15 October give higher education vendors a second window for follow-ups.

CSCMP EDGE (Gaylord Opryland, Nashville): CSCMP says it brings together supply chain leaders, practitioners and solution providers. It is a focused room for supply chain tech sellers.

TechCrunch Disrupt (San Francisco): TechCrunch lists founders, investors, operators and innovators among its 10,000+ attendees. It suits B2B SaaS and AI companies and anyone selling to recently funded founders.

Money20/20 USA (Las Vegas): the organizer expects 11,000+ senior attendees from more than 3,400 companies, with 1 in 3 in the C-suite. It is a core US window for fintech, payments and crypto infrastructure sellers.

Gartner IT Symposium/Xpo (Walt Disney World Swan and Dolphin Resorts, Orlando): Gartner bills it as a gathering of CIOs and IT executives. It fits system integrators, consulting partners and cybersecurity vendors whose buyers sit in the CIO's office. Legal and procurement tech vendors have no dedicated show in this calendar, and CIO rooms like this one are the closest fit.

Oracle AI World (Las Vegas): Oracle says attendees can connect with its product, technology and implementation experts, and its agenda lists a Partner Success Summit on 25 October. For Oracle partners, the outreach window opens on 13 September.

HLTH USA (Venetian Expo, Las Vegas): HLTH cites 12,250+ attendees, including 4,400+ C-suite executives, across providers, payers, pharma, health technology and investors. Healthcare IT vendors should start outreach by 4 October.

India

SEMICON India (Yashobhoomi, New Delhi): the India Semiconductor Mission and SEMI say it brings together the global semiconductor ecosystem across industry, government, academia and startups, so it suits companies that sell into the semiconductor and microelectronics value chain in India.

India Mobile Congress (Yashobhoomi, New Delhi): the official site lists 150K+ attendees and 500+ partners and exhibitors. It suits system integrators and enterprise tech firms selling to telecom operators, large enterprises and government in India.

Devcon 8 (Jio World Centre, Mumbai): Devcon describes its audience as the people behind decentralized systems, including core contributors, researchers and builders. Crypto and Web3 infrastructure companies that sell to developers should start by 22 September.

Bengaluru Tech Summit (Bangalore International Exhibition Centre): the summit says it brings together industry leaders, researchers, startups, investors and policymakers. It suits B2B SaaS, AI and SI firms building Indian enterprise pipeline.

Singapore

TOKEN2049 Singapore (Marina Bay Sands): the organizer projects 25,000+ attendees from 160+ countries, with more than 60% at C-level. For crypto and Web3 companies, book meeting rooms and side-event slots as early as you can.

GovWare (Sands Expo and Convention Centre): GovWare runs within Singapore International Cyber Week, which the Cyber Security Agency of Singapore organizes, and lists 300+ exhibitors and partners. It suits cybersecurity vendors targeting enterprise and public sector security teams across APAC.

Singapore FinTech Festival (Singapore EXPO): the festival cites 70,000+ attendees from 142 countries and regions, and says 1 in 5 attendees hold VP-level roles or above. Fintech and crypto infrastructure sellers should start by 7 October. For programs in the market, see our Singapore revenue pipeline generation page.

GCC: Riyadh, Abu Dhabi, Bahrain and Dubai

Money20/20 Middle East (RECC, Malham): the organizer expects 38,000+ visitors and 600+ investors. With the show two days away, book Riyadh follow-up meetings for late September alongside any floor meetings you can still confirm.

Ai Everything Abu Dhabi (ADNEC Centre, Abu Dhabi): the organizer says its Abu Dhabi AI Summit on 6 October brings together global policymakers, AI innovators and business leaders, and it runs a program for Chief AI Officers alongside the 6 to 7 October expo, so it suits AI, cybersecurity and digital infrastructure companies selling to government and enterprise AI leaders.

Fintech Forward (Exhibition World Bahrain): hosted by the Bahrain Economic Development Board and programmed by Forbes Middle East, it gives global and regional industry leaders a platform to connect with Bahrain's financial services ecosystem, which suits fintech companies selling into Bahrain's financial services sector.

FII10 (King Abdulaziz International Conference Center, Riyadh): FII Institute says attendees include heads of state, ministers, Fortune 500 CEOs, and sovereign wealth and institutional investors. The site says FII10 will be attended by FII Institute members, government officials, strategic partners and their invited delegates, so check access before you plan meetings.

Global Health Exhibition (RECC, Malham): the exhibition expects 130,000+ healthcare professionals and 2,200+ exhibiting brands. Healthcare IT vendors selling into Saudi Arabia should start by 14 September. For Saudi programs, see our Riyadh revenue pipeline generation page.

Dubai FinTech Summit (Madinat Jumeirah): the summit, organized by DIFC, cites 10,000+ business leaders and 1,000+ investors, and names C-suite leaders and regulators among its audience. With GITEX in December, it is the first large Dubai event in this calendar.

Black Hat MEA (RECC, Malham): Black Hat MEA cites 40K attendees and 330+ CISOs. Cybersecurity vendors building Saudi and GCC pipeline should start by 20 October.

GITEX Global (Expo City Dubai): the one-day GITEX Summit is on 7 December, and the four-day expo runs from 8 to 11 December. CipherBC, a Dubai crypto infrastructure company, got a return of at least 15 to 20x on every event from meetings we pre-booked at GITEX Dubai, Hong Kong FinTech Week, Consensus and other crypto events. For Dubai programs, see our Dubai revenue pipeline generation page, and start GITEX outreach by 26 October.

Europe

Web Summit (Lisbon): the 2026 page does not publish an attendance total or attendee profile, so judge it by overlap with your target accounts. It suits B2B SaaS and AI companies selling to founders and investors. Start by 28 September.

FAQ. Quick answers.

Still unsure? Ask us directly.

Which B2B events in Q4 2026 are worth pre-booking meetings at?

The right event is the one where your target accounts will be. System integrators should look at Dreamforce, Oracle AI World and Gartner IT Symposium/Xpo. Crypto and fintech teams have TOKEN2049 Singapore, Money20/20 USA, the Dubai FinTech Summit and the Singapore FinTech Festival. Cybersecurity sellers have GovWare and Black Hat MEA, and healthcare IT vendors have the Global Health Exhibition and HLTH USA.

When should we start outreach for a Q4 2026 conference?

Start six weeks before the event's first day. That leaves one week to confirm space and build a slot grid, one week to build the contact list, three weeks of email and LinkedIn outreach and a final week of confirmations. For Web Summit on 9 November 2026, start by 28 September. For GITEX Global on 7 December 2026, start by 26 October.

Is it too late to book meetings at an event less than six weeks away?

No, but narrow the list. Focus on tier-one accounts, confirmed speakers and exhibitors, open opportunities and customers you already know are going. Run a two to three week sequence with fewer touches, offer specific time slots, and give anyone who cannot meet on site a call in the week after the show. You will book fewer meetings, but each one will be with an account you chose.

When and where is GITEX Global 2026?

The official GITEX website lists GITEX Global 2026 from 7 to 11 December 2026 at Expo City Dubai. The one-day GITEX Summit is on 7 December, and the four-day expo runs from 8 to 11 December. Teams planning pre-booked meetings should start outreach by 26 October 2026 and check the official site again before booking travel.

Which Q4 2026 events suit crypto and Web3 companies?

TOKEN2049 Singapore (7 to 8 October) and Devcon 8 in Mumbai (3 to 6 November) are the crypto-native events in this window. Fintech shows where crypto infrastructure buyers meet banks and payments companies include Money20/20 USA in Las Vegas, the Dubai FinTech Summit and the Singapore FinTech Festival. Choose by region fit and by where your target accounts exhibit or speak.

Do we need a booth to pre-book meetings at these events?

No. Pre-booked meetings can run in a private meeting room, a hotel lounge near the venue or a partner's stand. A booth helps when you need live demos or visible presence next to competitors. Before you commit, estimate the cost per expected qualified meeting for each option and choose the setup that keeps that number lowest without hurting meeting quality.
